Job Details
Job Title: Declaration Officer
Location: Dar es Salaam, Tanzania
Reports to: Operations Manager
Type of Position: Contract

Main Purpose of Job: To accurately prepare and process error-free customs entries on behalf of the company within the laid down legal and statutory requirements for the customs clearance procedure.
Key Responsibilities & Duties
- Effective Import declaration Form Applications Processing
- Proforma and/or Commercial Invoice files should be obtained from the Client Service Department.
- Examine and confirm that the documentation and import declaration forms are accurate.
- Establishing effective HS codes and incoterms
- Enter data from the Import Declaration Form precisely into the TANCIS system.
- synchronize the system for the payment and approval of IDF application fees.
- Make sure that processed IDFs are sent to the appropriate Client Service team or clients for pre-shipment inspection.
Ensure an Effective Declaration Process
- Quickly obtain customer manifests from shipping companies for sea freight and airline handling centers for air freight via the Client Services division, Mombasa Operations Team, or any other appropriate source.
- Verify and re-verify the suitability of the HS codes used at the IDF application.
- Check that the details in the manifest match those in the shipping documentation.
- Make sure that the customs entries are prepared accurately.
- Prepare and complete customs declarations within the agreed-upon service levels.
- Inform the operations manager of any discrepancies or problems right away.
Data Management
Ensure that data has been entered into the Mafl system accurately.
Verify that taxes due have been accurately recorded.
Follow up to make sure taxes have been paid on time.
Once payment has been received, keep track of entries to make sure they have been processed at the Document Processing Center.
Verify the processed workโs quality
Determine and escalate any persistent issues with the operation of the system.
Provide Administrative and Departmental Support
- regularly advise the Client Services team on Tax Estimates in accordance with the KPIs.
- Give necessary managers prompt access to details on HS codes, tariff classification, and IDF creation
- At whatever level of clearance, manage all problems resulting from disagreements over tariff and valuation in an efficient manner.
- Keep up a professional working connection with clients and coworkers both inside and outside the company.
- Make sure departmental and personal goals are attained
- Plan and schedule departmental meetings, and attend them.
- Set departmental action plans for meetings, order them, and present them.
Stakeholder Engagement
- To ensure accurate entry and procedures, successfully communicate with stakeholders, clients, customs, ICDs, CFSs, shipping lines, and staff from the same and other departments.
- Utilizing the appropriate systems, communicate effectively with the stakeholders (including but not limited to TASAC, TRA, banks, etc.).
- Effectively track market movements in relation to regulations and other stakeholders, and properly sensitize the company.
Client Services Support
- Effectively respond to client questions and complaints, and proactively pursue resolution
- Investigate and address customer issues right away, and escalate them if necessary to the operations manager.
- Create and handle the necessary permits as needed
- Advising customers on the necessary permits and procedures
- effectively address consumer concerns resulting from the active IDF applications.
- After submitting an IDF application, promptly deliver files to the Client Services team for freight movement monitoring.
- Prepare tax estimates as soon as possible for the department of clients and customers.
Other Specialist Training or Certifications
- TANCIS and Single Window
- A bachelorโs degree in logistics management for ports and shipping, or a related field of study.
Minimum Years of Relevant Experience
- 3 years or more of experience
- experience with and thorough knowledge of sea freight clearance processes
