REQUIREMENTS:

A relevant 3-year tertiary degree (NQF level 6) in public administration, secretarial work, or a similar field, together with at least 5 years of relevant experience providing senior/executive management with high-level administrative support. Experience providing personal assistance and secretarial support in a busy executive office will be advantageous. The key skills and qualities listed below are crucial; Putting the needs of the customer first (Batho Pele); adhering to MISS criteria; Excellent writing and verbal communication, interpersonal abilities, organization, analytical thinking, problem solving, and computer skills. possess the capacity to cooperate with others. Having a current driverโ€™s license Code B or B1. the capacity to work under pressure and the willingness to put in extra time at the office. Be really well-organized. a sense of urgency and assertiveness. Must be dependable, versatile, and a team player. Must have a thorough understanding of the job done in an office setting for senior or executive management. Good interpersonal relationships are a must. Travel must be a willingness. Ability to control or manage finances. must be familiar with the Public Service Act, Treasury Regulations, and Public Service Act and Regulations.

DUTIES:

The chosen candidate will be in charge of providing the Director General with administrative support services and making sure the DGโ€™s Office runs smoothly. Organize the Director Generalโ€™s schedule. The Director Generalโ€™s general administrative support services. Offer efficient handling of messages with a high priority. Organize your email inbox and type documents as needed. Control the driver to the DGโ€™s and the food service assistantโ€™s timetables. managing all of the DGโ€™s travel and subsistence arrangements, as well as procurement, in accordance with the relevant policies. Prepare the meetingโ€™s agenda and supporting materials in advance, as well as the meeting space and secretarial support. When handling documents pertaining to staff members and other matters, exercise strict discretion. Provide general administrative assistance as required in the Director Generalโ€™s Branch. Keep record of Director Generalโ€™s documents into computer system and file documents in compliance with the MISS Document. Maintain the prescribed file registers for opening of files, archiving of documents as well as dispatch registers.

Any Public Service Department may provide the new Z83 form, which must be submitted with applications (or obtainable at www.gov.za). Incomplete new Z83 form parts A, B, C, D, and F are required of applicants. A current, complete resume (previous experience must be comprehensively detailed, i.e. positions held and dates). On the day of the interviews, applicants will turn in certified copies of all required credentials and identification documents. It is the applicantโ€™s responsibility to request that the South African Qualification Authority review their overseas credentials (SAQA).

The Department retains the option of not filling the position. Prior to the interviews, all shortlisted candidates will receive information about the logistics of a technical exercise that will test their knowledge of the jobโ€™s pertinent technical requirements. After the interviews, recommended applicants will also need to take a general managerial competency test. A mandatory SMS pre-entry certificate has been added by the National School of Governance (NGS) as part of the Minimum Entry Requirements for Senior Management Services, and can be obtained by visiting the website at http://www.thensg.gov.za/trainingcourse/sms-pre-entry-programme/, effective as of April 1, 2020. Using the required DPSA SMS competency assessment tools, the competency evaluation will examine general managerial competencies. The successful candidate must disclose to the Director-General particulars of all registrable financial interests, and sign a performance agreement and employment contract with the Director-General within three months from the date of assumption of duty. The successful candidate must be willing to sign an oath of secrecy with the Department.

The Department will decide the time, date, and location of the selection interviews and assessments, and applicants must be available at those times. Only once the following have been confirmed by the successful candidateโ€”educational qualifications, prior experience, citizenship, reference checks, and security vettingโ€”will they be given an offer letter.
